We are posting for a replacement of our Kingdom Scribe.  We thank Her Grace A’isha Rayhana al-Karim for her contributions. Please send your letter of application to the Kingdom Herald, Arwyn of Leicester (herald@avacal.org) by December 31.

Although knowledge of the scribal arts would be preferred, this is primarily an administrative position. Specifically the responsibilities of this position are:

• Maintain the Great Seal of State and the Signet Seal of the Crown of Avacal, surrendering these items to the Crown in time of need and upon occasions of State.
• Maintain, administer and coordinate with the scribes of Avacal to ensure the timely completion of the scrolls from a created roster.
• Ensure, through coordination with Sanguine Principal Herald, the accuracy and suitability of original scrolls containing heraldry.
• Maintain a supply of impressions of the Great Seal and Signet Seal, furnishing these to the Crown as needed.
• Ensure, in cooperation with the Royal Scribe (appointed by the Crown), that all charters and scrolls for each reign they are serving are available including supplies for Charters, seals, and the scribal boxes.\
• Report to the Sanguinaris Herald quarterly.

The skills that we would be looking for are:

• Good team building skills to recruit and look for new scribes to be involved for both the kingdom and our baronies.
• Administration skills such as spreadsheets to develop a scribe list including those who do baronial scrolls
• A working knowledge of the current kingdom and baronial awards or is willing to learn.

The office of the seneschal is a team of volunteers that lead the business side of our organization. As you may be aware, our current Queen Sadb was serving as kingdom seneschal until His Majesty Hjalti was inspired to victory at which time I stepped in from the contingency-deputy position and Sior Kate agreed to fill the contingency role. Maister Segdae and Brother Selwyn have served at least two terms as Events and Waiver deputies. Mistress Gwen & Mistress Ellisif have served a term as Calendar & New Branches deputies respectively and will be continuing in a second term. Her Ladyship Tofa is in her first term as Social Media Deputy. 

Why tell the details of this? First to express my deep appreciation for these volunteers. Without them, our kingdom would not be able to function! Avacal, you have the opportunity to get involved!! In December I will complete my temporary time as kingdom seneschal. I am grateful to Sadb and Kate who will take over the lead. We need to add more members to the team: 

Events Deputy is the person who acts as a resource for event stewards as they plan kingdom events. In this position you are expected to work with other kingdom officers to help stewards budget, complete paperwork & reports, and find the resources they need to host a successful event. You do not have to have all the answers, but knowing where to find information and who to ask will be very helpful. Segdae will support you as you learn the ropes. 

Waivers Deputy is the person who holds the repository of event, practice, and demo waivers for the kingdom. These are legal documents that must be retained in an organized way for a specified period of time. Working with the branch seneschals to facilitate this repository is an essential part of this role. Selwyn is happy to spend some time training you. 

Mistress Gwen would love to have someone join her as a deputy to learn with a plan to replace her eventually. This role is the keeper of the kingdom calendar. It involves acting as a resource and ensuring that paperwork is in order so that branch & kingdom events are published properly. 

Keeping up with Social Media is a big job and Tofa would love to create a team of people working together to accomplish this. Details are still being developed – a great opportunity to contribute. 

There are always projects on the go that could use some assistance such as reviewing and rewriting policy or double checking our waivers to ensure the wording matches society’s.

We are coming down to two weeks before the pre-registration deadline of Monday Aug 24 for feedback and performance entrants for the Queen’s Prize Tournament at Crown on September 6.

So far we have 16 people who have pre-registered with their display items and 6 people out of the 11 available slots for the performances that will happen at the tent beside Tiger’s Rest.

We are seeking applications for the Office of Principal Herald of Avacal. My term as Sanguinaris Herald ends in December 2026. Although I will also be applying for a second term, I would like to see if there is anyone else interested in holding this position. I would be willing to continue to support the new officer as a deputy. Deadline for applications is October 31.
 

The Officer is both challenging and rewarding.  You will coordinate and work with a great team of Heralds inside and outside our Kingdom.   

The responsibilities of this office include: 

*Kingdom officers are required to have active membership status with the Society. 

*File quarterly reports from your officers and report them to Avacal Curia and the Society Herald, known as Laurel. 

*Give good counsel to their Majesties and court regarding heraldic matters.  This includes Kingdom awards, devices, precedence, ceremonies, information about the cultural aspects of the Society, and heraldic advice. 

*Attend monthly decision meetings to determine the status of heraldic submissions.  

*Recruiting and training new heralds is a way to grow the college and build a more significant knowledge base. 

*Maintain a welcoming environment and abide by Society and Kingdom, laws and customs. 

You are only expected to know and answer some questions but understand what resources are available and how to seek them out.

Submissions Herald Position:

We are posting for a replacement for Eirik of Two Ravens who has been the submissions herald and will be stepping down at the end of his term in December. We would like to have a bit of a training overlap and we are looking to have a replacement by November 30 for at least a one month overlap. We will be accepting applications until October 15, 2026.  Please send your letter of application, SCA resume and modern resume to the Kingdom Herald, Arwyn of Leicester (herald@avacal.org); and to Kingdom Exchequer, HL Kaydance Pardus (exchequer@avacal.org).

Although knowledge of heraldry would be preferred, this is primarily an administrative position.  This position takes approximately 15 hours each month and has several key deadlines. The position specifically needs someone who:

• Excellent time management to key deadlines is very important to keep to monthly deadlines for letters through Online System for Commentary and Response (OSCAR) to meet the requirements of the administration handbook (https://heraldry.sca.org/admin.html) and reporting requirements for both the herald and exchequer’s office.
• Can be warranted as an exchequer so they can handle the submissions fees that are received both in person at submissions table or through the mail. Willingness fill out appropriate paperwork with TD Bank to become an official depositor and access to a local TD Bank branch for deposits.
• Has a stable mailing address and willingness to have their address posted on the web so people can send their submissions fees and forms to their stable address.
• Has reliable internet access, a computer and a scanner capable of 300dpi.
• Has an good working knowledge of computer programs like graphics program like MS paint, or inkscape to create electronic submissions and MS Office.   
• Has a working knowledge using online databases such as SAP, Salesforce, Oracle, etc are very similar to  Online System for Commentary and Response (OSCAR) used by the herald’s office.  
• Knows general heraldry or is willing to learn.

Now that quad war is over, let’s get our entries ready for either the displays or for the performances for Queen’s Prize Tourney. So on Sunday of Crown Sep 6 we will have displays and performances. Here are some general Frequently Asked Questions:

What display item should I enter? 

Anything you’ve made yourself in the last little while.  There are no category restrictions, so have fun and make something cool! Sca’isms and perioud items are encouraged! 

What if my piece isn’t finished?

No problem!  Bring what you’ve got and we’ll chat with you about it.  You can show us your ideas, ask for help to figure out what to do next, kvetch about how everything went wrong and all of a sudden caught fire.

What kinds of performances are allowed?

General populace performances need to be all ages appropriate. We would love to see music (vocal, instrumental), dance, theatre, juggling and even conjuring (magic). Period, SCA inspired, non-period, improv and anything that would entertain the populace or an audience.  Limit the performance time to 15 minutes.

Can I enter both the display and the performance categories?

No. This allows for easy scheduling. Please choose one or the other.

Do I have to have a discussion panel?

No. We are offering that as an option if you want. Don’t feel pressured to have one if you aren’t ready to do so. What kind of ‘research’ or ‘documentation’ do I need? 

Documentation of any kind is not required, but it’s sometimes nice to bring along information about what inspired you to make your item. Even if it’s a picture of the thing, some rough doodles, a reference to a movie or TV show, it’s all great!  If you want to write stuff down, we love to see your information and will happily gab about it, but there’s no pressure to perform.

What is a sponsor and how do I get one?

A sponsor is someone who is a member of a Kingdom Grant Level A&S or bardic award, or Laurel. Just like Squire for a Day, you will be sponsored for the day! Your sponsor will assist you in the tourney. They will act as a coach and offer advice and guidance. If you want to enter, but don’t know how to ask someone, reach out to Her Grace A’isha, and she can act as matchmaker for you! Due to the conditions of the grid road leading to the Quad Site, the EVENT IS MOVED TO THE NEILBURG HALL.

All activities will be at the hall. Accessing the Quad Site is not recommended. The hall does allow camping – but does NOT allow alcohol. Parking is limited. Please plan accordingly.

Hello Avacal! 

As I’m sure you are aware, the weather forecast for Coronation weekend at the Quad Site is not ideal. We have booked the Neilburg Hall (a mere 20 minutes away) for Saturday as an indoor alternative for at least some of the activities. 

Those of you planning to attend this event, please 

• prepare for cold and wet weather
• take care of and be kind to each other
• be patient with possible scheduling changes
